
You just got back from CIMES, IMTS, AMB (or a similar trade fair). Your head is full of conversations, the booth staff used three different terms for the same thing, and someone showed a “fast” result that might or might not match your part.
Here’s the uncomfortable truth: if you don’t capture the right details while you’re there, the trip turns into memories-not actionable follow-up. The good news is you don’t need more time; you need a better note system.
What to record at each booth (so your follow-up is specific)
Think in three layers: facts, context, and next actions. When you write down at least one item in each layer, your notes stay useful even after jet lag and calendar chaos.
1) The “what” (technical facts, not slogans)
- Machine / process: What was demonstrated (milling, grinding, threading, finishing), and what machine class?
- Tooling: Tool type, geometry, coating (if stated), and anything about toolholding.
- Workpiece basics: Material, roughness starting point (if discussed), and geometry class (flat, pocket, thread form, etc.).
- Parameters snapshot: Cutting speed/RPM, feed, depth of cut, coolant/air strategy, and any “special” stability approach.
2) The “under what conditions” (so comparisons are fair)
- Setup and fixturing: What was used to hold the part? Hydraulic? Modular? Custom support?
- Measurement method: How did they assess surface finish and edge quality?
- Acceptance criteria: What did they define as “good” (tolerance band, surface targets, defect limits)?
- Repeatability cues: Did they show multiple parts or multiple passes?
3) The “so what” (decision-ready next steps)
- Who owns follow-up: Application engineer, supplier, internal contact-name them if you can.
- What you need next: Parameter sheet, tool recommendation, sample parts, quotes, contact introductions, or a second conversation with the right specialist.
- By when: Your internal deadline (procurement date, evaluation kickoff, schedule for trials).
- Risk flags: Anything you’re unsure about (e.g., “finish measured on a different surface,” or “tool life depends on coating changes”).
Separate marketing claims from process facts (without being rude)
Booth conversations mix two kinds of statements:
- Claims: “We can improve productivity,” “smoother finish,” “stable at high speeds.”
- Proof: the actual settings, measurements, comparison baseline, and how results were achieved.
A simple rule: if a claim can’t be mapped to a condition and a measurement, treat it as a lead-not a conclusion.
Try this during the conversation
- “What exactly did you compare against?”
- “What was measured, where on the part, and with which method?”
- “Which variables are fixed in your demo setup (material, fixturing, tool condition)?”
- “If we try this on our geometry, what would you expect to change first?”

- Interesting, not now: Worth tracking, but not a priority for current decision windows.
Step 2: Turn notes into tasks
- Request tasks: “Ask for parameter sheet,” “request sample,” “confirm measurement method.”
- Internal tasks: “Prepare target part drawing and material spec,” “set measurement baseline,” “define acceptance criteria.”
- Comparison tasks: “Identify what demo conditions we can replicate,” “choose how we will measure finish/defects.”
Step 3: Add an owner and a due date
If nobody owns the follow-up, it will quietly evaporate. Even a simple spreadsheet works: one owner, one due date, one deliverable.
Common note-taking mistakes to avoid
- Writing only impressions: “Great finish” is not evaluatable. Add the measurement method and where it was measured.
- Mixing demos: If two booths showed similar-looking results, you still need distinct parameter and setup notes.
- Not capturing the baseline: Improvement without a baseline is just storytelling.
- Skipping fixturing details: Workholding and stability often matter as much as the tool itself.
- Leaving “next step” blank: Your future self needs a concrete request, not “follow up later.”
A quick “post-event” checklist (for your first 48 hours back)
- Do a 10-minute pass and label each booth note as Trial-ready / Needs clarification / Interesting.
- For each Trial-ready note, write one task: “Request sample/sheet” or “Run internal trial.”
- For each Needs clarification note, write exactly one question that unlocks evaluation.
- Pick your measurement baseline and acceptance criteria before comparing anything.
- Send follow-ups within 1-3 days while details are still sharp.
